Leapsome migration: export goals, key results and initiatives to Excel
Facts checked October 27, 2026
Leapsome's goal export is one of the fuller ones among HR suites. According to Understanding Leapsome Exports and their Labels, the Excel file covers goals, key results and team initiatives, with the parent goal's name and ID, weight, metric type, current and target values, confidence and contributors.
Two rules shape how you run it. Filters on screen decide what lands in the file. And goals marked "completely private" can only be exported by their owners, so even a super admin's file may have gaps.
Before you start: admin rights, filters and private goals
Leapsome's main export article says you need admin access for most exports. Then:
- Choose business or development goals. The export runs separately for Business goals (company, team or personal) and Personal Development goals. Most OKR moves take only the first.
- List your goal cycles. Each goal carries a Goal Cycle name if it was tagged to one. Decide which cycles move.
- Ask about private goals. Owners of completely private goals need to export their own, or change visibility first, if those goals should come along.
- Check your contract. Leapsome's pricing sells Goals & OKRs as a module. If you keep reviews or surveys, ask what dropping one module does to your bill.
Step 1: Choose your Leapsome exports
| Export | Where | Format | Covers | Limits |
|---|---|---|---|---|
| Goals list | Goals, All goals, Actions, Export | Excel | Goals, key results and initiatives in the filtered list | Filters apply; completely private goals only by owner |
| Goal groupings | Analytics, Groups, Export | Excel | Goal analytics with user attributes, plus people and teams without goals | A coverage check, not a rebuild file |
| Employees | Company, Employees, Export employees | Excel | Every user, with Leapsome ID | Use it to match owner IDs |
| Content API | Create an API secret in Leapsome | JSON | Goals, reviews, employees and more | Read only; needs a developer |
The Goals list export
Open Goals, then All goals. Filter to the set you want, for example one cycle or all team goals, then choose Actions, Export. Leapsome's labels article lists these columns: Goal/Key Result, Goal Purpose, Linked competency, Goal Cycle, Parent goal name and ID, Status, Confidence, Progress, Metric, Current, Target, Weight, Type, owner name or team with ID and email, Managed by with ID and email, Creation date, Deadline, Description, Last Update, Tags and Contributors.
Two columns need care. Status is "Active" or "Frozen", where Frozen means the goal or its cycle is archived. Confidence holds Canceled, Off track, Delayed, On track or Done.
Coverage from Analytics
Under Analytics, Groups, Export, you can download goal groupings with user attributes and a list of individuals and teams without goals. Run it before the move. It tells you which teams have nothing to migrate.
The Content API
Leapsome's Content API article describes a one-way connection: you create an API secret, then pull goals and other data into an outside system. It can't change anything in Leapsome. Use it only if you want a script to run the export on a schedule.
People and IDs
The employee export from Company, Employees gives each person's Leapsome ID. The goal file uses owner IDs as well as emails, so the two files line up if you need to fix names.
Reviews, surveys, meetings and feedback
If you're leaving Leapsome entirely, these have their own exports: review answers and PDFs, survey Excel files, meeting raw data and instant feedback. None of them belongs in an OKR tool, but HR should save them before access ends.
Step 2: Check the Leapsome file
Filters are the usual reason a file comes up short. Clear them, then add only the cycle filter you need.
Check these four things in the Excel file:
- Goal and key result counts match the All goals list for the same filters.
- Every Parent goal ID belongs to a goal that is also in the file.
- Frozen goals are either removed or moved to an archive tab.
- Weights on each goal's key results add up the way you expect, and binary metrics show 0 or 1.
If parents are missing, they're probably in another cycle or completely private. Export that cycle or ask the owner.
Comparing replacements first? The Leapsome alternatives page covers six options, with prices and Teams support.
Step 3: Rebuild your Leapsome goals in OKIAR
The Excel file can go straight into OKIAR's goal import. It reads spreadsheets, multi-sheet workbooks included, as well as CSV, PDF, Word, text, Markdown, up to 5 MB, and it helps map people, teams and parent links for you to review. Leapsome's Parent goal ID gives the import a clean link to follow. You can import during sign-up or afterwards.
Work through it in this order:
- Sign up free at okiar.app/signup.
- Import the active cycle. Put Frozen goals in a separate archive sheet or leave them behind.
- Check the tree against the parent IDs.
- Carry the weights across. OKIAR supports weighted key results.
- Add contributors as extra owners only where they share accountability. Extra owners are optional.
- Recreate teams from team-owned goals and Managed by.
- Set a period. Custom periods cover Leapsome cycles of any length.

Confidence versus pacing
Leapsome's Confidence column is a label owners pick. OKIAR calculates status from pacing, according to its objective docs: progress at 0.7 or more of what's expected by today is On track, 0.4 to 0.69 is Behind, and below 0.4 is At risk. Owners can still mark Not started, Closed or Abandoned. Each check-in adds a confidence score from 0 to 10, the closest match to Leapsome's label.
Step 4: Swap the integrations
Leapsome's Slack integration sends Goal Digests, and its Microsoft Teams integration sends notifications, reminders and digests.
| Leapsome | OKIAR |
|---|---|
| Slack Goal Digests | Slack channel posts and DMs |
| Teams reminders and digests | No Teams app; Slack or Telegram |
| Content API pulls | OKIAR's MCP server creates objectives, key results and KPIs, and updates progress and check-ins |
Step 5: The first check-in
Pick one day a week and keep it. In week one, every owner enters a current value, a confidence score and any blocker in OKIAR. Compare top-level progress with Leapsome's goal list. When the numbers agree, move the Excel file to your records and switch off the Leapsome goal reminders.
