Quantive migration: what you can export, and how to move your OKRs somewhere other than WorkBoard

Facts checked October 27, 2026

When WorkBoard announced it was buying Quantive on May 28, 2025, it said Quantive customers "will transition to the WorkBoard platform over the coming months." You don't have to go with them. This guide covers the other path: get your data out of Quantive while you still can, check what's in the file, and rebuild somewhere else.

Steps 1 and 2 are needed for any move. Steps 3 to 5 then rebuild the quarter you're in using OKIAR.

Before you start: what's still reachable

On October 27, 2026, quantive.com and quantive.com/pricing redirected to workboard.com, and the Quantive help center (help.quantive.com) redirected to WorkBoard's support site. The Quantive app and importer addresses refused our requests, which tells us nothing about whether your account still opens. We couldn't find any WorkBoard page about exports for Quantive customers who leave.

The Quantive help articles quoted below come from archived copies in the Wayback Machine. They describe how Quantive worked before the acquisition, so check each step against what your account shows today.

Do two things this week:

  1. Ask your Quantive admin to log in and confirm what still works, including Export to Excel and the Import/Export utility.
  2. Ask WorkBoard, in writing, for a full export of your account and for its data deletion terms before your contract ends. Per WorkBoard's Slack Marketplace listing, data from an inactive account is held for at least 30 days. Plan as if 30 days is all you get. Quantive's own rule was that only the account admin could request account deletion, through a support request.

Step 1: Work out which Quantive export you have

Quantive Results offered several exports. They don't overlap neatly, so it helps to know what each one carries.

Which Quantive export can you still get?

A few yes-or-no questions, based on the archived Quantive help articles cited above.

Question 1

Can someone at your company still log in to Quantive?

Export to Excel (one session)

Quantive's export article says you open OKRs, then All sessions, pick a session and click Export to Excel in the toolbar. The file lists objectives and key results "together with all details". It listed the Enterprise plan as a prerequisite, so smaller plans may not have had it.

The Import/Export utility (everything, by data type)

This was a separate app for bulk work. According to Quantive's utility guide, "Export from Quantive Results" downloads an Excel file with all existing data for a data type: sessions, objectives and key results, tasks, users, teams or KPIs. Each file has an Instructions sheet. The utility ran in regional versions, so use the one for your region.

If you can still reach it, export every data type and keep the files untouched.

The API

Quantive had a RESTful API, described in its API quickstart. Tokens were created under Setup, Configuration, API tokens, and each token acts as the user who made it. This is the route for check-in history or comments if a developer can still connect.

Insightboards and Decisions (PDF)

Insightboards could be exported to PDF from the "..." menu. StrategyAI users could also export Decisions to PDF. Neither is a data file, but both show how things looked.

If you have no file

Then use Insightboard PDFs or the last quarterly review deck as the source. A clean restart is also possible with OKIAR's OKR examples: templates for 16 teams.

Step 2: Check what your file contains

Quantive never published a full column list for its exports. Here's what its utility guide does say:

  • The OKR file has an "Objective" sheet and a "Key Results" sheet.
  • Rows carry an Import ID and a System ID. Alignment sits in the "Parent Objective ID" and "Parent ID" columns.
  • Custom fields sit on the right side of the sheet.
  • Quantive matched records by name. Objectives were matched on session name, objective name and owners. Key results were matched on objective, key result name and owners. Users were matched on email, and teams and KPIs on name.

Before you plan the move, check four things:

  1. Count the objectives and key results in the file, and compare the total with what Quantive shows.
  2. Check that every key result has a parent objective ID that matches a row on the Objective sheet.
  3. Look for owners who have left the company.
  4. Look for check-in notes and comments. The help articles don't say the Excel files include them, so assume they don't until you see them.

Is your export ready to import?

Tick the four checks as you do them and enter your file size.

  • Still to do: Objective and key result counts match what Quantive shows
  • Still to do: Every key result’s parent objective ID matches a row on the Objective sheet
  • Still to do: Owners who have moved on are flagged
  • Still to do: I looked for check-in notes and comments (and know whether they’re there)

Moving to a tool other than OKIAR

Any new vendor should import a sample of your Quantive workbook before you sign. Their import rules on October 27, 2026:

Eight Quantive replacements and their import support are on our Quantive alternatives page.

Step 3: Rebuild your current quarter in OKIAR

The utility's OKR file splits objectives and key results across two sheets, and OKIAR's goal import reads multi-sheet workbooks. The sign-up guide caps files at 5 MB. Owners, teams and parent links are kept. The import works at sign-up or later and produces a draft; edit objectives, key results, start values and targets, then accept.

Rebuild the current session only; the workbook is your record of past sessions.

  1. Sign up for the free beta, which asks for no card and allows unlimited team members.
  2. Upload the export for the current session. If it's over 5 MB, delete past sessions from the workbook first. Read each proposed objective and key result before accepting.
  3. Check imported teams against the Teams file, and invite people from the Users file as Admin, Manager, Contributor or Viewer.
  4. Follow the Parent Objective ID column to confirm that team objectives sit under the right company objectives.
  5. Confirm every key result's start, current value, target and unit.
  6. Metrics you track all year, like revenue or churn, belong in KPIs.
  7. Add Slack.
  8. Check the objective, team and person views against the workbook and fix owners or links that don't match.

Statuses in OKIAR

Statuses from Quantive aren't needed. OKIAR computes status from pacing, which its objective guide explains as a goal's progress set against the progress expected so far this quarter. A manual override exists.

Pacing ratio in OKIARResulting status
At least 0.7On track
0.4 through 0.69Behind
Less than 0.4At risk
Not calculatedNot started, Closed, Abandoned (set manually)

Check-ins also take a confidence score between 0 and 10.

Step 4: Replace your Quantive data sources

Quantive data sources pulled data from other systems on a sync schedule, so KPIs and key results updated themselves. Those connections won't come with your file.

In QuantiveIn OKIAR today
Data sources that updated KPIs and key resultsManual updates at each weekly check-in
InsightboardsDashboards and Insights
Chat notificationsSlack posts and DMs, or Telegram; no Teams
API and tokensMCP for AI tools, limited by role and team

Data sources fed Quantive's numbers. OKIAR has none yet, so owners enter them. OKIAR's MCP gives an assistant such as Claude 14 tools, enough to file a check-in or update a current value, but not to create objectives or key results. Let owners know about the change before the first check-in.

Step 5: Run the first check-in

Check in during the first week, while everyone still remembers how the rebuild went.

  • Agree a check-in day and template per team.
  • Owners give progress, confidence and blockers, either typed or by voice.
  • Discuss the weekly summary at the next team meeting.
  • When a few weeks have passed, Insights brings out pacing, confidence and repeated blockers.
  • The mid-quarter review is where the plan changes.

Five prompts you can reuse are in our weekly check-in template.

Frequently asked questions

Do I have to move to WorkBoard?

No. WorkBoard said Quantive customers would move to its platform, but that's its plan, not a rule for you. Read your contract for the end date and notice terms, and ask for your data before it ends.

Can I still export Quantive to Excel?

Possibly, if your account still opens. The session Export to Excel needed the Enterprise plan and the right role. The Import/Export utility exported everything by data type. We couldn't check either from outside, so ask your admin to try both, and ask WorkBoard for a full export in writing.

Which Quantive export is the most complete?

Probably the Import/Export utility, because it exports each data type with IDs, parent links and custom fields. The session Excel export covers one session at a time.

Does the export include check-in history?

Quantive's help articles don't say it does. Check your file. If the history matters, ask a developer to pull it through the API, or ask WorkBoard for it.

We came to Quantive from Gtmhub or Koan. Is anything different?

Not for exporting. Gtmhub was Quantive's earlier name. Koan was bought by Gtmhub and, according to Koan's own archived help article, shut down on March 31, 2023 after moving its accounts into Gtmhub, so those goals already lived in Quantive.

Can OKIAR import my Quantive file?

Yes. Upload the Quantive OKR workbook with both sheets at sign-up or later, provided it's 5 MB or less. Owners, teams and parent links carry into a draft you review.

What does OKIAR cost?

There's no charge in beta. No card is taken, and objectives, key results, KPIs and team members are unlimited. The beta has no end date; Okiar is already live today. The planned Pro plan's price is shown as "TBD/seat/month".

If you're also moving goals out of Microsoft's tool, see our Viva Goals migration guide.
